A Typical Work Week
‼️ This is a full-time, in-person role at our West Des Moines office. Remote work is not available.
As the Client Experience Assistant at TwoTone, you’ll serve as the right hand to our Client Experience Officer (CXO), helping keep priorities organized, communication flowing, and projects moving forward. You’ll gain a front-row seat to how exceptional client relationships are managed while learning the systems and processes that drive our Client Experience department. This role is ideal for someone who is highly organized, proactive, and excited to grow in a fast-paced marketing agency.
Top 5 Responsibilities:
- Calendar and inbox management
- Manage and organize communication across email, Slack, Monday.com, and Basecamp
- Track follow-ups, action items, and department priorities
- Prepare meeting notes, agendas, and supporting materials
- Anticipate needs and proactively remove obstacles before they become problems
Other Responsibilities:
- Document processes, workflows, and meeting notes
- Shadow client meetings and capture action items
- Draft, review, and send communications on behalf of the CXO
- Organize and prepare meeting agendas, materials, and follow-up items
- Manage leadership calendars to maximize alignment and efficiency
- Create and update reports, presentations, and dashboards in Google Workspace
- Coordinate travel arrangements and itineraries
- Maintain organized digital files, documentation, and internal resources
- Identify opportunities to improve organization, processes, and team efficiency
- Run occasional errands and assist with operations
- Jump in wherever needed to help the Client Experience team succeed
Required Skills:
- Exceptionally organized with strong attention to detail
- Highly proactive and able to anticipate needs without being asked
- Excellent written and verbal communication skills
- Strong follow-through and time management
- Comfortable managing multiple priorities simultaneously
- Professional, dependable, and resourceful
- Tech-savvy and quick to learn new software platforms
- Strong problem-solving skills and willingness to ask thoughtful questions
- Comfortable working in a fast-paced, collaborative environment
- Positive attitude with a desire to support others and continuously learn
Extra Skills:
Would be awesome, but not required.
- Administrative or executive assistant experience
- Project coordination experience
- Experience with Monday.com, Basecamp, Slack, or similar project management tools
- Experience managing calendars or executive schedules
- Marketing agency experience
- Customer service or client-facing experience
- Bachelor’s degree in Business, Communications, Marketing, or a related field
